Whether you use OCR or online converters, knowing how to convert PDF to text helps you extract, edit, and reuse content from any document.

uploading the file to a PDF-to-text converter, running the conversion, and downloading a plain TXT file

. Most documents can be processed in under a minute.

Knowing how to do this saves you from retyping pages or dealing with tedious copy-pasting, as plain text strips out fonts, images, and layout. This makes it ideal for editing, searching, and feeding content into other tools.

Our comprehensive guide will walk you through each step, explain what happens to your formatting during conversion, and show you how to clean up the result so you get the file you need.

Digital PDFs convert in seconds, but scanned PDFs need optical character recognition (OCR) first.

When you convert PDF to TXT, you keep the words and lose fonts, images, columns, and styling.

A few minutes of cleanup fixes most line breaks, spacing, and list problems.

Tables rarely survive plain text, so check them by hand.

You should choose TXT when you need clean, portable text or Word when layout matters.

, as long as the file contains real, selectable text. Digital PDFs convert in seconds, while scanned PDFs need optical character recognition (OCR) first to turn the page images into text.

Not every PDF behaves the same way; here's how the main types do:

Files exported from Word, Google Docs, or a website store real text, and they convert cleanly and almost instantly.

These are photos of paper pages, so the words are pixels, not characters. The Library of Congress, for example, publishes some digitized materials as

Some files combine typed pages with scanned ones. Here, you can expect clean text from the first group and OCR guesswork from the second.

OCR struggles with cursive and messy handwriting, so you should proofread.

You can do a small test by opening your file, pressing Ctrl+F (Cmd+F on a Mac), and

for a word you can see on the page. If nothing turns up, there could be an issue with the text layer, or you're dealing with na scan. In that case, you’ll want to edit with OCR before you export anything.

What Happens to Formatting When You Convert PDF to Text?

the words stay, but nearly everything that shaped the page's look disappears

Most special characters, such as accents and currency symbols

Tables, which flatten into loose rows of text

Clickable links, which usually become plain text

Multi-column pages deserve extra attention; a converter reads text in the order it finds it, so two columns can, for example, blend together line by line. Therefore, if your PDF contains columns, you should skim the output before you rely on it.

How to Fix Formatting After Converting PDF to Text

To fix formatting after you convert a PDF to text, you need to

clean up line breaks, spacing, lists, and tables in a text editor

. Most problems take a few minutes with find and replace, and a quick proofread catches the rest, especially after OCR.

If you started with a scan, you must proofread more closely. For instance, OCR mistakes typically cluster around look-alike characters, such as the letter O and the number 0. The federal

can help, since it covers how to spot and correct recognized text.

, so converted text often breaks mid-sentence. In a text editor with find and replace, you should swap single line breaks for a space and leave the blank lines between paragraphs alone.

double spaces, stray tabs, and words split across lines

, such as "conver-sion." Then find and replace handles the first two, while split words need a manual look, since some hyphens do belong in some words.

. Retype them with hyphens or asterisks, and restore numbers in order so the sequence stays easy to follow.

Tables typically flatten into rows with uneven spacing, so you should compare the output to the original page and rebuild key data by hand. Alternatively, you can skip the mess and

Chatbots and summarizers read clean text more reliably than complex layouts.

Text opens in any editor, so you can copy text from a PDF and reuse paragraphs without fighting fonts or locked layouts.

Scripts, spreadsheets, and search tools handle text files faster than PDFs, which helps with research and large archives once you convert PDFs into text.

Copying is a better option for a few paragraphs, while a converter handles long files in one pass without any manual selection. To copy text from a PDF by hand, you:

This breaks down on long documents and scans, where selection often fails.

For bigger jobs, you can upload the file to a converter and download a TXT. Whichever online PDF editor or converter you pick, you need to check how it handles your data first and assess its

A browser-based tool also helps when you want to extract text from a PDF online without installing anything. You should pick a PDF-to-TXT converter that works on any device, so that you can do it at your desk, on a laptop, or on the go. Also, skip PDF text extractors that bury the download behind ads.

How to Convert PDF to Text: 3 Easy Steps That Work

This all-in-one guide teaches you how to convert PDF to Markdown in three steps and offers tips for Obsidian, Claude, Python, and Mac!

upload the file to an online PDF-to-Markdown converter, run the conversion, and download the .md file

. Your headings, lists, and links stay as plain, editable text, and the whole process takes about a minute.

PDFs lock content in a fixed layout, while Markdown frees it for docs, notes, and Git repositories. That flexibility is why more writers, developers, and AI users make the switch, and below, you'll see why the switch pays off. We bring you the exact steps, platform-specific tips, how accurate the results are, and how to clean up the output.

Markdown turns locked PDF content into lightweight, editable text for docs, notes, and GitHub.

Conversion takes three steps: open the converter, upload your PDF, and download the .md file.

Text-based PDFs convert well, but scanned files need OCR first.

Obsidian, Notion, VS Code, Claude, and Python all work with Markdown.

Always fix headings, line breaks, lists, and tables after converting.

plain text that's easy to edit, search, version, and reuse

. A Markdown file has no fixed layout, so it opens in any text editor and adapts to whatever tool you feed it into.

Here are the main reasons people make the switch:

When you copy text out of a PDF, that often breaks paragraphs and formatting. Markdown keeps headings and lists intact, so moving manuals, specs, or policies into a docs site gets simple.

Apps like Obsidian, Notion, and VS Code work well hiwith .md files. After a PDF-to-MD conversion, you can search, link, and tag the content like any other note.

Git can't show line-by-line changes inside a binary PDF, but it can in a Markdown file. GitHub also

, so reviews and pull requests get easier.

Language models handle structured plain text better than layout-heavy files. Microsoft built its open-source MarkItDown utility to convert files into Markdown for use with LLMs and other text-analysis workflows.

How Accurate Is PDF to Markdown Conversion?

accurate for text-based PDFs with a clear structure

, but for other files, the level of accuracy may depend on the complexity of layouts. Converters read the text layer and infer headings from font size and position, so clean documents will convert best.

So logically, a simple 10-page report usually needs only light edits, while a two-column academic paper with footnotes and equations can take several minutes of cleanup. When you extract Markdown from PDF files, there will be parts that:

(body text, headings, bulleted lists, and hyperlinks)

(tables, multi-column layouts, footnotes, and headers or footers that repeat on every page)

(exact fonts, colors, and page positioning, since Markdown doesn't store them)

are the biggest exception, as they're images, so a converter finds no text to read until you

As for your files, the original PDF stays unchanged, and conversion creates a separate .md file. Before uploading sensitive documents to any tool, check its privacy policy for how long files are stored, and make sure you choose a safe

How to Clean Up Markdown After Converting a PDF

To clean up Markdown after converting a PDF, you need to

fix the heading hierarchy, remove stray line breaks, and check lists and tables

. Luckily, a quick pass in any Markdown editor takes a few minutes and makes the file ready to use.

Use one # for the title, ## for main sections, and ### for subsections. Also, don't skip levels.

PDFs break lines at the page edge, so paragraphs often arrive chopped into pieces. You need to join them, or use find and replace with a regular expression in VS Code.

, and numbered items should restart correctly.

Markdown tables use pipes and dashes. If yours arrived as loose text,

Delete repeated headers, footers, and page numbers.

These scatter through the text after conversion.

Confirm that URLs still work and that image references point to real files.

Finally, open the file in your editor's preview and scan it once from top to bottom.

If the mistakes come from the source, fix the PDF first; you can do it in

, which lets you correct text before you convert the PDF to MD again.

. Let’s have a look at these differences.

choose Markdown when you need structure without the weight, PDF for contracts,

, and print, and TXT only when formatting doesn't matter

. And if you need a polished copy later,

Now you know how to convert PDF to Markdown, and you can see that the process is quite short:

upload, convert, download, then tidy the result

. It doesn’t matter if the file heads to Obsidian, Claude, Python, or a Git repository; a quick cleanup will turn a rigid PDF into flexible, reusable text!

and ask for Markdown output. Long or complex documents may come back shortened, so it’s best to check the result thoroughly.

#2. Can Microsoft convert PDFs to Markdown?

Microsoft's open-source MarkItDown tool converts PDFs to Markdown

. It runs in Python from a terminal, so you'll need to install Python first, and it works best on text-based PDFs with headings, lists, and tables handled reasonably well.

#3. Can I convert a scanned PDF to Markdown?

you can convert a scanned PDF to Markdown

, but you need OCR first. A scanned PDF is an image, so converters find no text to extract; you must run OCR to make the file searchable, or edit the scanned PDF into text, then convert it.

If you're wondering why convert to PDF is not working, the cause may be unsupported formats, browser errors, damage, or access restrictions.

When convert to PDF is not working, either there’s

(it is damaged, protected, an unsupported type, or too heavy), or

In this guide, we explain the most common reasons PDF conversion fails and how to fix each one, from file-related issues to problems with the app, browser, or conversion tool. We also cover what to try when the usual fixes do not work, so you can quickly identify the cause and get the file converted successfully.

PDF conversion can fail because of damaged or restricted files, unsupported formats, file size limits, or problems with the conversion software.

Converting a different, simple file with the same method helps identify whether the original document or the conversion tool is causing the problem.

The right fix depends on your conversion method, from updating Office or disabling faulty add-ins to restoring Microsoft Print to PDF or checking browser settings.

An alternative conversion method can bypass software issues, but file-related problems may still need to be resolved first.

Missing fonts, unsupported characters, and uncompressed images can affect the converted PDF’s layout, readability, and file size.

Which ‘Convert to PDF’ Method Are You Using?

The type of ‘convert to PDF’ tool you’re using surely affects how successful the process will be. Each available route breaks for its own reasons, so the right fix depends on which one failed. Word's

Knowing the route cuts the list of likely causes down to two or three. Problems inside the file are the exception: a damaged or protected document breaks every route in the same way, so those causes apply whichever method you picked.

Usually, a PDF converter isn’t working because the file is damaged or protected, Word or Office needs an update or repair, an add-in is interfering, or Microsoft Print to PDF is disabled in Windows.

So, the next time you’re wondering, “Why can’t I convert a file to a PDF?”, you can check out this review of the 10 most common causes and how to fix them.

when one document refuses to convert while others convert normally with the same method

. Files get damaged by a crash, a dropped connection during a save, or a failing drive, and the converter then stops on data it cannot read.

To fix a corrupted Word file, you should create a new blank document and test

on it. If the blank file converts, copy the content of the damaged document into the new one, save it under a new name, and convert again. This leaves most of the hidden damage behind in the old file.

#2. The File is Password-Protected or Restricted

a converter cannot reprocess a file it has no rights to open

that blocks exporting, printing, or copying, and they often show a "Protected" or "Restricted" notice when you open them.

For a document you own, open it with the password, remove the protection in the app's protection settings, save it, and convert it again. Meanwhile, for a file someone else restricted, ask the owner for an unrestricted copy; stripping DRM from a file you do not own can break its license terms, so the owner is the right route.

#3. The Converter Cannot Open That File Type

A converter can only turn a file into a PDF

. Desktop converters pass the file to the program that created it, so a DOCX file will not convert on a computer with no app that opens DOCX. Online converters accept a fixed list of formats and reject everything else.

Photos are the usual trap; iPhone pictures often arrive as HEIC files, which converters built for JPG and PNG turn away, so convert

or save them as JPG first. For any other format, you should check the converter's supported list before uploading, or save the file as DOCX or JPG and try again.

converters cap both file size and processing time

. A file can sit under the size cap and still time out when it holds a very long document, many embedded fonts, or high-resolution images, since each one adds work for the converter.

The usual sign is a progress bar that stops moving and never finishes. If this happens, you should:

Split the document into smaller parts and convert each one

Reduce the resolution of large images before converting, or

Remove embedded media the PDF does not need

After all, converting a long document chapter by chapter also shows exactly which part causes the stall.

#5. Word or Office Needs an Update or a Repair

, and the cheapest fix comes first: run the conversion a second time. A failed Word conversion often succeeds on the second attempt, so if you close and reopen the app, it may clear many one-off glitches.

If the error when converting a file to PDF keeps coming back, update Office through

. And if the issue persists, you can try to repair the Office installation by doing the following:

does not help, repeat the steps and choose

Try the conversion again after each step rather than running all of them at once.

is not Working Because an Add-In is Blocking It

Word add-ins hook into saving and printing, and

a faulty one can make Save as PDF throw an error or freeze

Turn the add-ins off, then try the conversion again.

If the PDF saves with add-ins off, switch the Word add-ins back on one at a time until the failure returns. The last add-in you enabled is the culprit, so leave it off or update it.
