Turn your Word document into an interactive PDF with fillable fields

If you want to learn how to create a fillable PDF from Word, we teach you all about doing so in a quick and easy way, all in your browser!

You can create a fillable PDF from Word by

building your form in Word, saving it as a PDF, and adding interactive fields in a PDF editor

. Given that Word can't carry its own form controls into a PDF, the editor handles that last step.

Fillable forms save everyone from printing, handwriting, and scanning. Besides this, they also reduce errors since readers type into clearly marked boxes instead of guessing where answers belong, which is often an issue with printed ones.

Today, our focus will be on how the process of creating these works, so we’ll learn which field types you can use and how to fix some common issues that may emerge. Read on!

Word can't export its own form controls, so you first need to design the layout in Word and add the fields in a PDF editor.

Six field types (text, checkbox, list, select, date, and signature) cover most forms.

Clear labels, a logical tab order, and a final test will make your form easy to complete.

Errors such as misaligned fields and dead checkboxes usually come from layout shifts or typed symbols.

, but it typically takes two tools instead of one. While Word itself builds the form's layout, a

turns that layout into fields readers can type into, check, or sign.

Here's the explanation: when you export a Word file, the document becomes a fixed page. The text and tables survive, but nothing on the page responds to clicks or typing. To turn a PDF into a fillable PDF, you need to place form fields over the blanks so that each field becomes a

Now, if you're wondering how to make a Word document fillable inside Word itself, you should know that content controls and legacy form fields work while the file stays in Word. Recipients without Word, or on a phone, often can't use them. Meanwhile, a PDF opens almost everywhere, which is why most forms end up in that format.

; each takes a few minutes, and you don't need design skills.

Start with a blank document and type every label, such as

. You can use a table to line up labels and blank spaces, then hide the borders for a cleaner look.

Then, leave generous room for each answer (because typed text needs more space than you'd expect), keep fonts consistent, and mark checkbox spots with small empty squares.

and tick the box for document structure tags, which helps screen readers.

This export is the first half of the job to convert Word to a fillable PDF; let’s see the next step, which adds the interactivity.

Once you do so, you should upload the file you want to modify, and then add fillable fields to the PDF by choosing a field type and placing it over each blank. It’s possible to resize every field to match its space and give each one a clear name, which you can repeat until every blank has a matching field.

When you are done adding all the fields, click on

in the upper right corner. You can save the final document as a PDF, or in another format, if needed (e.g., PPTX,

After that, open the finished file in a browser and in a second

. Click through each field, type sample answers, tick every box, and press

Finally, as soon as you fix anything odd, just save a clean copy and

Which Field Types Can You Add to a Fillable PDF?

You can add six field types to a fillable PDF, and these are:

give people a spot to draw, type, or upload their signature before they send the file out.

It holds names, addresses, and short answers; you can set the font size so longer entries still fit.

This type usually shows a drop-down menu of options, such as a department or country, that readers can pick instead of typing.

A checkbox lets readers tick every option that applies; if someone ticks one by mistake, they can

This one accepts a date in one consistent format, such as MM/DD/YYYY.

It presents a pick-one group of choices, like

Mixing these types is how you make a PDF form editable and also

Place text boxes, checkboxes, and signature fields right in your browser with no downloading or scanning required.

Why Don't Word Content Controls Stay Fillable in a PDF?

Word content controls don't stay fillable in a PDF

because Word's export flattens them into static text

, that a standard Word export doesn't write, so each control turns into plain, unclickable text.

This is similar to printing a spreadsheet; you keep the numbers, but the formulas disappear. Word does the same with form controls, so the layout does survive, but the interactive logic doesn't. Some desktop plug-ins can carry certain controls across, but results vary by version and setup; still, a PDF editor skips that risk by building native fields into the PDF itself.

This table shows what happens to common Word elements on export, and what to do about it.

7 Essential Tips for Making a Fillable PDF Easy to Use

Here are some valuable tips that will make your PDFs easier to use regardless of whether you create a fillable PDF form from Word once or every now and then:

Put a visible label beside each blank so readers never wonder what goes where.

should move readers left to right and top to bottom, the way they read the page.

Don't assume a fillable PDF automatically validates every answer. For example, the IRS notes that its own fill-in forms

, so you should spell out formats like MM/DD/YYYY near the field.

For instance, a last name needs a wider box than a ZIP code, and cut-off text typically frustrates people, so this is the most suitable way to handle it.

A drop-down menu prevents typos in answers such as state or department.

Clear labels and tagged structure let screen readers announce each field. The federal guide on

makes a solid checklist that covers the basics.

Add an asterisk and a one-line note at the top so no one submits an incomplete form.

Troubleshooting 3 Common Fillable PDF Problems

And finally, to wrap this up, here are the three most common problems related to fillable PDFs and how to fix each one.

#1. Why Is a PDF Not Fillable After Converting It From Word?

A PDF isn't fillable after you convert it from Word

because the export keeps only the page's appearance

. No interactive fields come along, so the document stays static until you add them in an editor.

To solve this, open the file in an editor and place a field over each blank; you can always add fillable fields to PDF pages again after a re-export. If you often create fillable PDF forms from Word, you should keep the Word file as your master copy and re-export after every edit.

#2. Why Are the Fillable Fields Misaligned?

when the page layout shifts after conversion

, or margins move the text underneath your fields, so boxes no longer sit on their blanks.

Here, it’s best to embed fonts during export and use tables rather than repeated spaces to line things up. Once you do so, check every field's position after conversion; if you edit the text later, recheck the fields nearby, because even one extra line can push everything down.

when it's only a typed symbol or a drawn square

. Those shapes belong to the page's picture, and they aren't interactive fields.

To make a PDF form editable at the checkbox level, you can place a real checkbox field over each square and click it in preview mode to confirm it toggles on and off.

In conclusion, a fillable form is typically about

a clean Word layout, a careful export, and the right fields on top

. Once you've done it properly one time, the process will feel routine, and your readers skip the printer entirely.

We recommend you keep your Word file as the master, test every field before you share, and fix problems early. If you're still unsure about the tool you should use, you can simply upload your file to pdf.net and add your first field today!

Learn how to extract comments from PDFs with a PDF editor or Word and open them in Excel.

To extract comments from a PDF file, you can use a PDF editor or Word. You can then open the exported comments in Excel to sort and filter them.

PDF comments or annotations (sticky notes and markups) are commonly used to review academic papers, proofread business records, and annotate legal documents. Knowing how to extract comments from PDFs can enhance and simplify the text editing process, document revision, and collaboration between individuals creating or addressing the comments.

In this guide, we will show you practical methods to extract comments from PDFs and share some practices to help you make the most out of this process.

Sticky notes, highlights, text boxes, and replies are stored as separate annotations, so you can export them without rereading every page.

Most PDF software can save comments as an FDF or XFDF file that keeps the author, date, page, and comment text.

Opening the file in a word processor lets you copy the comments as text, but some comment types may not carry over, so check the result against the original.

Open the exported data in a spreadsheet to sort, filter, and track comments, and save it as CSV or XLSX if you need to.

Comments that were printed into the page or drawn on a scan are not separate comments, so they cannot be extracted.

Add status, owner, and due date columns so every comment turns into a clear next step.

3 Best Practices for Extracting Comments From PDF Files

Organizing comments the right way after extraction is very important for further use. Even if you use the best PDF comment extraction tool, you may still not benefit from it if the information remains unsorted or unclassified.

that can help you with PDF comment extraction and organization:

#1. Organizing Comments Into a Summary Report

keep track of them and reference them better

. The exported Excel table already contains most of this information, so you only need to add a few extra columns.

For instance, you can create a list or table and classify your comments according to the following criteria:

Type of comment (error, suggestion, etc.)

#2. Converting Comments Into Actionable Tasks

Grouping comments into actionable tasks can keep revisions on track (e.g., at work or school). In other words, you can consider every comment a call to action and then categorize each in different ways.

For instance, a comment may point towards rephrasing a section and improving your work. Comments that confirm something works well can be marked as approved, so nobody changes that section by mistake. Comments that lead to specific actions can

Knowing which action you should take and when can also

, as it can help you set priorities and put effort and time into key tasks. This also means you can deal with low-priority tasks more quickly and spend less energy on them. In your exported table, add Owner, Due date, and Status columns so every comment has someone responsible for it.

#3. Filtering Essential Feedback From Large PDFs

can contain a lot of comments. This is why it is crucial to filter essential feedback and exclude minor comments.

comments in a large PDF file, such as ‘rephrase, revise, correct, delete, etc.’ This can make organizing your comments easier and faster.

. Once your comments are in Excel, you can apply cell colors or conditional formatting. For example, you can highlight all the positive feedback in green, suggestions in yellow, and errors in red.

. Marking the same or similar comments can help you disregard or remove the ones you do not find necessary. Also, this can help you process multiple comments simultaneously and reveal what your primary focus should be.

Extracting comments from a PDF takes only a few minutes once you know where to look. Exporting a data file with a PDF editor is the most complete option, Word works as a quick fallback, and Excel gives you a table you can sort, filter, and track.

Whichever method you choose, organize your comments afterward by page, author, status, and owner so every comment turns into a clear next step.

#1. What file formats can I export comments to?

You can export comments to file formats such as PDF or XFDF with a PDF editor, but always check the export window for all available options. You can open an XFDF file in Excel and save it as CSV or XLSX.

#2. Is it possible to extract comments from scanned PDFs?

It depends on how the comments were added. If the comments were added digitally on top of the scan, you can extract them with the steps above. To make the scanned text itself searchable first, use

to detect text from the scanned image. Handwritten notes or marks that are part of the scanned image are not stored as comments, so they cannot be extracted as comments.

#3. Can you export comments from one PDF to another?

Yes, you can export comments from one PDF to another. First, extract comments from your original file. After you save the exported comments to your drive, upload this file and the PDF you want to export comments to. For best results, use the same version of the PDF, since comment positions can shift when the page count differs.

#4. Does extracting comments change the original PDF?

No, it does not, because extraction exports your comments to a separate file, so your original PDF stays as it is.

#5. Why can’t I extract comments from my PDF?

The most common reason is that the comments were flattened or printed into the page, so they are no longer separate annotations. See the troubleshooting section above for other causes.

How to Extract Comments From a PDF File: Different Methods + Tips

The answer to “do PDFs have metadata?” is “yes, they do”. Learn what's stored inside every PDF (author, dates, software), why it matters for privacy.

Yes, PDFs have metadata. This metadata often holds more information than you might expect. It includes details about when the document was created or modified, as well as the software used, titles, subjects, and embedded notes.

When working with sensitive documents, understanding that PDFs contain metadata and what details they include is of paramount importance. It is just as important to know how to review or remove it to protect your privacy and meet professional requirements, which is what we teach you in this all-in-one guide.

PDFs can carry metadata, including the creation date, author, title, and the software used to make it, even when none of it appears on the page.

PDF metadata can be stored as the classic Document Information Dictionary and the more flexible XMP standard.

Metadata makes documents easier to organize, search, and brand, but it can also expose usernames, file paths, or software versions you didn’t mean to share.

Windows, Mac, Android, and iPhone all include built-in ways to check a PDF’s metadata before you send it anywhere.

Most PDF editors let you edit or strip metadata, but once you save the change, the original details are usually gone for good.

is information stored inside the document that describes it beyond its visible content; it is a set of details about

how, when, and by whom the PDF was created

Although you may not always see this data when opening a PDF, it is often embedded automatically by the software you use. Usually, you will find the following:

The name of the person who created the PDF.

Words that describe the content of the PDF.

that show when the PDF was created and last edited.

Fields or comments added by document management systems or workflows.

Types of PDF Metadata: Document Info vs. XMP

: the classic Document Information Dictionary and the newer XMP (Extensible Metadata Platform) standard. Simple PDFs usually carry only the Document Information Dictionary, while files exported from design or publishing software often carry both, sometimes with mismatched details.

Knowing which format you’re looking at matters, since not every PDF viewer displays both, and the fields available in each one aren’t identical. Here’s how they compare:

Here’s what each format actually stores.

The Document Information Dictionary is the

, built into the format since Adobe introduced PDF in 1993. It holds a simple, predefined set of key-value fields:

Because the fields are fixed, you can’t add custom categories beyond what the PDF specification allows. Most PDF editors read and display this dictionary automatically, which is why it usually shows up under “Details” or “Properties” in Windows and Mac file browsers. It remains the fastest way to check a document’s basic information, even in newer PDFs.

, later standardized as ISO 16684-1. Instead of fixed fields, it stores metadata as an XML packet embedded directly in the file, which lets it carry custom schemas, like Dublin Core or

conformance data, alongside the usual title and author fields.

, viewing XMP metadata “is not for the uninitiated,” since the underlying XML can be complex and hard to navigate manually. Design, publishing, and archival workflows rely on XMP because it can hold far more structured detail than the classic Document Information Dictionary.
